Position Overview

We are seeking a skilled and dynamic Project Manager with sound knowledge of local authority regulations to lead & successfully deliver our fit-out projects. The ideal candidate will have a strong background in managing interior construction projects delivery from inception to completion, ensuring that all aspects are delivered to the highest quality standards, on time, and within budget. The Project Manager will coordinate with clients, developers, design consultants, contractors, vendors and internal teams to ensure smooth execution and successful project delivery.

Key Responsibilities

Project Planning and Initiation:

  • Define project scope, goals, and deliverables that support business goals in collaboration with senior management and stakeholders.
  • Develop comprehensive project plans, timelines, and schedules (MS Projects). 
  • Identify resources needed and assign individual responsibilities. 
  • Be able to identify potential risks, bottlenecks & plan integrating all aspects for successful project handover.

Budget Management & Invoicing:

  • Develop and manage the project budget, ensuring cost-effective utilization of resources.
  • Monitor project expenditures and implement cost-saving measures without compromising quality.
  • Always ensure the site progress is in line with the Invoicing strategy outlined in the contract & liaise with the accounts for timely invoicing. Follow up with client till invoices are fully paid. 
  • Monitor timely approval of VOs and ensure the project is completed within the allocated budget. 

Stakeholder Coordination:

  • Serve as the main point of contact for clients, providing regular updates and managing expectations.
  • Collaborate with designers, architects, engineers, and subcontractors to ensure project requirements are met.
  • Facilitate communication and resolve any issues between stakeholders.
  • Solid database of suppliers, contractors and subject matter experts. 

Project Execution and Monitoring:

  • Oversee daily operations and activities on-site, always ensuring compliance with safety and quality standards. 
  • Coordinate with all project participants, ensuring alignment with project goals & timelines.
  • Conduct regular site visits to monitor progress and quality of work.

Risk Management:

  • Identify potential risks and develop mitigation strategies.
  • Resolve any conflicts or challenges that arise during the project lifecycle.

Quality Assurance:

  • Ensure that all work is completed to a high standard and meets the specifications outlined in the project plan.
  • Conduct regular inspections and quality checks prior to delivery of items to site. 
  • Supervise the installation of all items within project scope. 

Documentation and Reporting:

  • Maintain accurate project documentation and records including but not limited to approved project plans, Logs E1 & E2, RFI & CVI & VO logs. 
  • Prepare and present regular project status reports to stakeholders concurrently maintaining the most updated logs at all times. 
  • Weekly progress reporting of all ongoing & projects in pipeline.  

Project Closure:

  • Oversee the final stages of the project, ensuring all work is completed satisfactorily and on schedule.
  • Conduct post-project evaluations and create reports on project outcomes, lessons learned for continued process improvements (for design details & execution strategies).

Qualifications

  • Bachelor’s degree in Construction Management, Architecture, Engineering, or a related field.  A Master’s degree is a plus.
  • Minimum of 12 years of experience in project management within the fit-out, Joinery or construction industry.
  • Proven track record of managing and delivering high-quality luxury interior fit-out projects.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple projects simultaneously and meet deadlines.

Desired Skills and Competencies:

  • Strong understanding of fit-out processes, MEP, interior finishes, materials, and local building regulatory requirements.
  • Excellent leadership, organizational, and communication skills.
  • Flexibility to work beyond office hours and on weekends if required for timely completion. 
  • Proficiency in project management software (e.g. MS Project, Primavera, or similar).
  • Ability to read and interpret architectural drawings and specifications.
  • Experience with sustainable design practices and materials.
  • Ability to work both independently and as part of a team.
  • Strong organizational and project management skills.
  • Expertise in procurement and vendor management.

  • Ability to work effectively under pressure and manage multiple priorities simultaneously. 

Work Environment:

  • This role involves both office work and on-site management.
  • Frequent travel to project sites is required.
  • May require travel within or beyond the UAE depending on project award.
